Job Description

Job Summary

We are seeking a detail-oriented and organized Accounts Payable Administrator to join our finance team. The ideal candidate will be responsible for managing the company's accounts payable processes, ensuring timely and accurate processing of invoices, and maintaining vendor relationships. This role requires proficiency in accounting software and a strong understanding of accounts payable functions.

Duties and Responsibilities:

  • Receiving, processing, verifying, entering and reconciling vendor invoices
  • Verifying vendor accounts by reconciling monthly statements and related transactions
  • Resolve account discrepancies: investigate documentation, issue stop payments, or adjustments
  • Communicate discrepancies to internal team and resolve the issues with vendor
  • Maintaining historical records of all invoices, reports, receipts, and cheques by saving documents properly on the network
  • Assisting other departments with equipment or product purchases, tracking assets and accounts for acquisition
  • Confirming subcontractor billed working hours, bonuses, and projects
  • Maintain Subcontractor documentation
  • Pay invoices: verify transaction information, schedule and prepare disbursements, obtain authorization for payment
  • Perform other duties as required.

Requirements and skills:

  • Completion of post-secondary diploma in Accounting or Finance preferred
  • Minimum 3 years of progressive accounting work experience
  • Excellent computer skills, accounting software applications
  • Ability to handle large volume of invoices and prompt deadlines
  • Advanced Microsoft Excel, Word and PowerPoint
  • Excellent verbal and written English communication skills.
  • Ability to follow processes/procedures
  • Ability to generate periodic reports
  • Ability to be discrete and ensure confidentiality is maintained.
  • Excellent organizing abilities
  • Attentive to detail
  • Self starter, driven, positive, results-oriented.
  • Team player with strong interpersonal skills
  • Willingness to learn and a self-starter attitude.
