About the Role:

Job Title: Administrative Assistant

Job Description:

Responsibilities:

  • Executive Support & Calendar Management
  • Manages complex calendars, prioritizing meetings aligned with strategic objectives; coordinates international travel and ensures policy compliance.
  • Travel & Logistics Coordination
  • Arranges comprehensive travel plans, including accommodations, transportation, documentation (visas, immunizations), and daily itineraries using Microsoft tools.
  • Cross-Functional Collaboration
  • Builds strong relationships with stakeholders across HR, Finance, and other teams to support leader and team effectiveness.
  • Team Operations Support
  • Manages headcount logistics including hiring, onboarding/offboarding, staff movement, org charts, distribution lists, and security access.
  • Event & Meeting Coordination
  • Plans and supports team events and site visits, manages logistics, tracks outcomes, and ensures smooth execution and follow-up.
  • Project Execution & Ownership
  • Independently drives projects, identifies risks, and implements process improvements while maintaining accountability for deliverables.
  • Communication & Team Engagement
  • Serves as a key point of contact for the team, contributing to team morale, dynamic building, and effective internal communication.

Must Haves:

  • Minimum 2+ years Experience in administrative/business support role supporting calendar and team
  • Minimum 1 years experience with MSFT office suite
  • Minimum 1 years experience with event coordination/meeting logistics

Location : Vancouver, BC.

Salary Range: The salary for this position is between CA$45,000- CA$65,000 Annually. Factors which may affect pay within this range may include geography/market, skills, education, experience, and other qualifications of the successful candidate.
