As the Executive Assistant to the CEO of UROSPOT, you will play a critical role in keeping her office running with seamless precision. Your primary responsibility will be to provide highly organized, proactive, and discreet support across both business and personal domains. With a focus on discipline, foresight, and detail, you will ensure that the leadership team is empowered to focus on strategic growth while you handle the day-to-day complexities behind the scenes.

Hybrid – based in London, ON, with both in-person and remote work.
Type:
Will begin as contract with opportunity to move to full-time. 40 hours/week, Monday to Friday (approximately 90% of the time), with occasional weekend or evening availability as needed. Daytime flexibility is essential.
Key Responsibilities
· Proactively anticipate needs and resolve issues before they arise.
· Manage complex calendars, including booking meetings, coordinating agendas, and ensuring alignment across multiple time zones.
· Primary support is to the CEO with additional support to the Chief Development Officer / Co-founder.
· Lead document and file management for both offices, maintaining consistency, accessibility, and order.
· Oversee planning and coordination of travel, events, and both business and personal logistics.
· Triage and manage email inboxes, ensuring prompt responses, prioritization, and effective communication on behalf of leadership.
· Act as a liaison between the executive team and internal/external stakeholders, including franchise partners, ensuring timely and clear communication.
· Plan and coordinate events as needed, from team meetings to special company occasions.
· Exercise a high degree of discretion and confidentiality with sensitive matters.
· Maintain a sharp focus on detail and organization, ensuring nothing falls through the cracks.
· Support with ad hoc personal tasks and errands as needed.
· Identify process improvements to create greater efficiency and effectiveness for the leadership team.
Qualifications
· 3–5 years of proven experience as an Executive Assistant, ideally supporting C-level executives or founders.
· Demonstrated ability to operate with a high level of professionalism, discretion, and emotional intelligence.
· Proficiency in Microsoft Office 365 (Word, Excel, Outlook, PowerPoint, Teams), and comfort working with cloud-based tools and digital systems.
· Outstanding verbal and written communication skills, with the ability to communicate clearly and confidently.
· Meticulous attention to detail and organizational prowess—you are someone who notices the small things and ensures excellence.
· Strong prioritization and time management skills with the ability to handle multiple tasks, deadlines, and changing priorities with ease.
· A proactive mindset with the ability to anticipate needs and take initiative without being prompted.
· Experience planning and managing events with an eye for both the big picture and the finer details.
· Capable of managing confidential information with absolute discretion.
· Adept at building strong working relationships, maintaining a calm and composed demeanor under pressure.
· Resourceful, adaptable, and solution-oriented, especially in fast-paced and evolving environments.
