Job Description

Registration Assessor (full-time, 19-month term)

Under the leadership of the Registration Director, the Registration Assessor serves as the first person of contact for potential and existing registrants about the registration process, and potential and existing proprietors and licensees about licensing pharmacies. The Registration Assessor administers the college’s various registration and licensing programs, policies, and procedures. The Registration Assessor analyzes and processes all applications and requests to the department. 

To achieve success within the department all Registration Assessors work as a cohesive team. The responsibilities of the department have been segmented into four portfolios to empower team member stewardship in an area of focus. The Registration Assessor will be an expert in and responsible for their assigned portfolio, proficient in and the main back up to their secondary portfolio, and competent to perform the work in any of the portfolios and support other team members as needed.

Key responsibilities

Advise on program, policy, and procedures

  • First person of contact for registration and licensing inquiries from the public and registrants.
  • Advise potential and existing registrants on program requirements, policy, procedures, and legislation to support them in their initial application and on changes once registered.
  • Advise potential and existing pharmacy proprietors and licensees on program requirements, policy, procedures, and legislation for initial pharmacy licensure and subsequent changes.
  • Advise requesters on policy, requirements, and procedures to access registrant or pharmacy data.
  • Independently resolve registration and licensing questions or concerns.

Assess, analyze, and process 

Ensure thorough assessment, analysis of, and compliance with, the requirements of the registration and licensure programs, policies, and procedures prior to issuing or performing a change to a registrant practice permit or a pharmacy licence. This is done by performing critical review, evaluation, and processing of:

  • Registration applications for students, interns, pharmacists, provisional pharmacy technicians, pharmacy technicians, locums and continuing education providers.
  • o Verify credentials, assess, and analyze all required documentation.
  • Pharmacy licensure applications.
  • o Review floor plans, evaluate applications, and assess and analyze all required documentation.
  • Applications for registrant reinstatements, ensuring all reinstatement requirements are met.
  • The annual renewal of pharmacists, pharmacy technicians, and pharmacies.
  • o Analyze any deficiencies.
  • o Manage non-compliant and suspended registrants and pharmacies.
  • Registrant changes such as name, employment, and registration type.
  • Applications for authorizations.
  • Applications for extensions for expiring statuses.
  • Pharmacy changes such as name, relocation, renovation, employees, pharmacy type, hours of operation, ownership, licensee, and closures.
  • Applications for offsite records.
  • Payments, receipts, certificates, permits, and licenses.

Program administration

  • Administer the structured practical training (SPT) program and support registrants and preceptors with SPT questions or issues.
  • o Coordinate and administer the jurisprudence exam program and support registrants with questions or issues.
  • o Coordinate and administer the professional declaration audit program by performing the audit and escalating cases that do not meet the requirements.
  • Prepare for annual renewal of pharmacists, pharmacy technicians, and pharmacies.
  • o Coordinate the renewal systems requirements and process with IT.
  • o Coordinate revisions to the website and forms.
  • o Consult with the competence and complaints departments to identify registrants/pharmacies with additional renewal requirements.
  • o Coordinate implementation with the competence, accounting, and communications departments.
  • Support internal trade agreements by assessing, and processing requests for letters of standing.
  • Manage subscriptions and ad-hoc requests for registrant and pharmacy information.
  • Support extract and reporting processes by facilitating requests and addressing anomalies. 
  • Monitor adherence to registration and licensure policies (e.g., licensee in place, staff changes).

Other

  • Maintain the integrity of the register (database); ensuring information is accurate.
  • Create, capture, and retain documents as per records management policy.
  • Contribute to the records management database, and create, label and file registrant/pharmacy files.
  • Contribute to process, system, and website improvement initiatives.
  • Create, review, and revise forms, templates, and website content.
  • Order and maintain registration supplies.
  • Provide reception coverage as required for vacation and sick leave.
  • Provide coverage for the Competence Coordinator as required for extended vacation.
  • Other duties as required.

Qualifications 

  • Completion of a college diploma or university degree in business administration.
  • Two years of experience in a similar role.
  • Intermediate to advanced skills in MS Word, Excel, and working within databases.

An equivalent combination of education and experience will be considered.
