Job Description

Position Summary:Work with the Exhibit Management team to manage all aspects of the IVECCS exhibit hall, serving as the point-person for exhibitors that delivers an optimal experience for the attendees and exhibitors. H igh-energy self-starter to help drive tradeshow exhibit sales, sponsorship, and advertising for all meetings to include IVECCS and Spring Symposium. Competitive candidates will have proven success in generating new business, an eagerness to learn the exhibitors, and motivation to grow their career to the next level!

Duties and Responsibilities:

Exhibit and Sponsorship Sales:

1. Confidently sell over the phone and in-person to contacts ranging from entry-level to C-Suite at both prospective and established accounts. The primary focus will be on event exhibit space, sponsorship, and advertising, and assisting in membership recruitment.

2. Listen to the customer, understand their needs and connect them with the appropriate strategic solution

3. Communicate a vision for the client, verbally and in writing, that earns their confidence and buy-in.

4. Identify new business opportunities by reviewing industry news, trade publications, competitive and adjacent events, and other industry activities.

5. Uncover opportunities with the established customer base by routinely engaging them to understand their evolving goals.

6. Record your communications and track opportunities to accurately report and track your pipeline of business.

7. Independently monitor progress against weekly, monthly, quarterly and yearly goals in order to ensure you are meeting or exceeding benchmarks.

Exhibits Manager core functions:

  1. Exhibit Hall Coordination – work closely with Vice President of Meetings and Events to provide coordination of timelines, deliverables, and processes related to the IVECCS exhibit hall.
  2. Exhibit Sales – responsible for overseeing the sales process for IVECCS, Spring Symposium, and Career Fair exhibitors that achieves budgeted sales goals and delivers a positive experience for vendors.
  3. Exhibit Management – work closely with the Vice President of Meetings and Events and general contractor to plan, design, and execute all necessary activities during exhibitions. Day to Day contact to ensure exhibitors meet all deadlines and have appropriate communication to prepare for conference. Maintain visibility with exhibitors and resolve any issues that arise while onsite.
  4. Relationship management – maintain ongoing dialogue with VECCS exhibitors to solicit feedback, answer questions, respond to complaints, and ensure renewal of booth.
  5. Program management – plan, design, and implement programs, including but not limited to student and moderator programs that achieve budgeted and/or attendee satisfaction outcomes.
  6. Vendor Selection and Contract Negotiation – work with Vice President of Meeting and Events to select providers and negotiate the most competitive rates for all services needed for VECCS exhibits.

Knowledge, Skills, Abilities, and Credentials

  1. Organizing, Planning, and Prioritizing Work — adept at developing of specific goals and plans to prioritize, multi-task, manage time, organize, and execute
  2. Best Practices – knowledge of current best practices in the planning, design, and delivery of conferences and exhibitions
  3. Relationship Management — adept at developing constructive and cooperative working relationships with members, business partners, vendors, attendees, and VECCS team members. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.
  4. Administration and Management — detailed knowledge of project management techniques, as well as, coordination and allocation of people and resources, leadership techniques, and event production methods.
  5. Certified Exhibits Manager (CEM) strongly preferred
  6. Computer savvy with business basics (Word, Excel, PowerPoint) and have experience with or be willing to learn new applications such as event management and CRM applications such as Map Your Show
  7. Effective communicator via phone and email, must keep a call log of all existing and prospective exhibitors and sales.
  8. Other Duties as assigned

Job Specifications:

 

Minimum Education:

Bachelor's degree preferred; Associate degree required.

Skills Necessary:

Demonstrate proficiency with personal computer word processing software (Microsoft Office Suite, Google Workspace). Proficient understanding of spreadsheets, information management and databases required. Professional verbal and written communication skills to include customer service-oriented outreach and follow up. Accurate spelling and typing; proficient typing speed (45-55 words per minute). Excellent organization and analytical skills as well as the ability to adapt to a variable workload and function in a deadline-oriented environment. Be able to work as a team member, accepting change as we problem solve and keep the goals, members, and mission of VECCS at the forefront of our minds.

Experience:

Minimum 4 years’ experience of demonstrated success in independently achieving sales goals in a B2B setting in the trade show, meetings, or events industry. Experience with computer functions required.

Supervision Received:

Responsibility for determining own work methods. Intermittent check on work methods and work products. Regular updates to Vice President of Meetings and Events on assigned projects and duties.

Supervision Exercised:

May provide training and instruction to other employees or temporary employees on standard operating procedures of the department.

Travel:

Two to four times per year, including weekends. For VECCS Annual Symposium (IVECCS), which is 5 days in September or October, you will be required to travel up to 10 consecutive days, typically including a commitment of evening and weekend work. Duties assigned during IVECCS may be related to your job description or assigned as needed to produce a successful event. Conference-related tasks may include long days on your feet, lifting, packing, walking, etc. In addition, the person in this position may be asked to attend conferences around the country as an exhibitor to promote VECCS or as an attendee for Continuing Education.
