Job Description

Summary of Position

Under the direct supervision of the Regional Administrative Development Manager this position provides administrative support for the Calgary Corporate office.

Qualifications & Requirements

  • High school diploma or equivalent
  • 1-2 years’ experience in an office setting is preferred
  • Demonstrated ability to work independently within an environment that fluctuates rapidly, between being fast paced and demanding to quiet and solitary.

Primary Responsibilities

  • Answers central telephone system and directs calls accordingly.
  • Prepares outgoing mail and shipments; sorts and distributes incoming mail daily.
  • Assists Sales District Manager/Team with administrative duties; other office management staff, as needed.
  • Greets external guests, completes security checks, and accompanies visitors accordingly.
  • Provides a warm and welcoming experience for all visitors, including internal visitors from US districts.
  • Keeps all conference rooms and visitor offices tidy and stocked with supplies.
  • Tidies up kitchens nightly and restocks at regular intervals.
  • Reports office maintenance issues to building management.
  • Maintains office supply inventory.
  • Sets up parking and building permissions for new employees.
  • Works with IT for new employee access badge distribution.
  • Coordinates staff events, such as volunteer, team building and holiday events.
  • Supports Sales and Marketing Teams to develop and stock branded items and customer gifts.
  • Flexibility for daily duties is a must.

Working Conditions/Environment

  • Operates in a professional and/or business casual office environment.
  • Routinely uses standard office equipment such as laptops, personal computers, photocopiers/scanners, and smartphones.
  • At desk at 8am MST daily, to receive morning deliveries.
  • Occasional overtime work (evenings and weekends) may be required as job duties demand.
