Job Description

Position: Executive Assistant

Location: Downtown Toronto

Job Type: Temporary to Permanent

Our client is looking for an Executive Assistant to add to their dynamic team! An experienced and detail-oriented professional with great multi-tasking skills would be perfect for this role. If this sounds like you, please read on.

Responsibilities:

- Do extensive calendar management for executives

- Handle travel planning for domestic and international arrangements (flights, hotels, car transfers, passports, documents, etc.)

- Coordinate, arrange and oversee the department event planning process, as required

- Work closely with external partners, assistants, vendors and other stakeholders to schedule meetings or events

- Handle meeting coordination and logistics (setting up video or call conferences)

- Track expense reports, invoicing, file documentation and preparation

- Develop relationships with internal and external clients

Qualifications:

- Experience supporting executives in a fast-paced environment

- Experience with complex calendar management, meeting bookings, events, travel scheduling and expense reimbursement process management

- Excellent oral and written communication skills

- Advanced skills in Word, Excel, PowerPoint and Outlook

- Proven ability to take action independently and as part of a team

- Excellent organizational and multitasking skills and the ability to effectively manage changing priorities
