Your new role

The main role of this position is to provide support to the Leasing team with respect to transactional data entry, preparation of leasing documentation, performance reports, marketing material and overall analysis for various properties and special projects. The coordinator will gradually be involved in more and more negotiations and deals.

Days-to-day

  • Maintaining all leasing platforms up to date in with respect to availability, and the different transactions concluded and ensure that all the relative information is up to date and manage supplier relationships
  • Maintaining availability lists up to date and collaborate with the marketing team to provide updated plans and property flyers
  • Maintaining leasing pipeline documentation with updated information regarding prospects, lease renewals and other information;
  • Updating the master leasing pipeline documentation
  • Assisting in the redaction of leasing proposals or LOI’s etc
  • Assisting in the entry of budget leasing information
  • Preparing market leasing Assumption tables per property
  • Maintaining and updating leasing plans according to the company’s standards and ensure they are up to date
  • Maintaining and updating stacking plans
  • Managing the leasing e-mail inbox and filter e-mails to the appropriate team members
  • Filtering centralized calls for the leasing team
  • Coordinating the flow of documentation with the legal team
  • Maintaining and updating the broker database and coordinating with the brokerage firms in Montréal, Quebec and Ottawa Western Canada, to ensure accurate information
  • Coordinating client gifting (lease renewals, new tenants)
  • Updating documentation for the Comité de Gestion and other relevant committees that the leasing team participates in.
  • Coordinating Lease and Amendment signatures (or other signatures) via Adobe Sign.
  • Scheduling meetings and greeting clients
  • Processing invoices, preparing P.O’s related to leasing team (space plans, commissions etc)
  • Following up on MERX and SEAO for relevant space inquiries
  • General coordination/liaising between leasing team and the teams it works with ( property management, marketing, legal, accounting, finance)

Requirements

• Analytical and marketing skills;

• Strong administrative skills

• Ability to multi-task, work independently and as part of a team

• Proficiency in Microsoft Office, Adobe Sign, Adobe Photoshop and Docusign.

• Fully bilingual in French/English – spoken & written

What you will receive
