Founded in 1983, Bishop Hamilton Montessori School is a CCMA-accredited, not-for-profit independent school offering a Christian Montessori education to 200 students in the Ottawa area.

We’re currently looking for a creative and tech-savvy Office Administrator with a focus on marketing and communications. In addition to supporting the daily operations of the front office, this role plays a key part in promoting the school’s mission and engaging with our community through digital content, events, and outreach initiatives.

Under the direction of the School Director, this role will manage a range of administrative duties while also contributing to the promotion of our school and fostering community engagement through digital and traditional platforms.

Key Responsibilities:

Administrative Duties

  • Greet and assist students, parents, staff, and visitors at the front desk
  • Manage incoming communications (email, phone, in person) and respond to parent and staff inquiries
  • Manage daily student attendance, including parent outreach for absences
  • Maintain and update student files, records, and class lists (hard copy and digital)
  • Provide general administrative support including mail, supplies, copier troubleshooting, and school forms
  • Assist with Ministry visit preparations and maintain required documentation
  • Cover for other office team members during absences or busy periods

Marketing & Communications

  • Coordinate school-wide communications such as newsletters and announcements
  • Take and organize event photos for school use (TV, yearbook, social media, website)
  • Maintain and update lobby displays and digital signage
  • Track and organize RSVPs for events, tours, and meetings
  • Support event planning and coordination, including school functions and community outreach
  • Create and update school forms and maintain inventory of marketing/event supplies
  • Manage and update contact lists for alumni, suppliers, and external communications
  • Collaborate with the School Director to uphold and promote the school’s image and values

Key Qualifications:

  • Proficiency in Office 365, social media platforms, and Adobe Suite (InDesign, Illustrator)
  • Ability to handle data entry and multitask effectively
  • Ability to work in a fast-paced environment while managing multiple priorities
  • Strong organizational skills with attention to detail
  • Excellent communication skills, both written and verbal
  • Familiarity with digital marketing and social media management
  • A collaborative, team-oriented attitude with the ability to adapt to varying communication styles
  • Personable and approachable demeanor
  • Experience in a school or educational environment is an asset
  • Experience in event planning or marketing is an asset

Hours:

7:30am – 3:30pm
